Administrative Assistant (2101986) – Beachwood, OH

Where the Chemistry Happens

We are seeking a professional like you to join our team. In this role, you will be responsible for providing a wide range of general administrative duties including creating reports and other documents, making travel plans, assisting with expense reports, ordering of office supplies, ensuring functionality of site printers and copiers, and organizing meetings and training sessions. Prepares purchase requests, resolves invoices and creates shipping documents within SAP. Ensures site procedures are updated and posted in Documentum.

Formula for Success

Leveraging your education and experience, you will provide administrative assistance to both site managers and staff.

Successfully using your knowledge of Windows, Excel, SharePoint, IBM Notes and SAP in performance or your daily tasks.

Serve as working subject matter expert within SAP to input purchase requests, resolving vendor invoices and processing shipments from the site.

Ensuring that the visitor management system (iLobby) and BASF web-based broadcast system at the site remain in proper working order.

Assist site safety personnel with tracking of statistics, updating procedures and issuing reports and tracking of vendor status through Avetta.

Works with the Facility Manager to ensure site occupancy records are current.

Maintain and issue updates to the sites EHS and operational procedures for management and EHS personnel.

Assigns computer-based training to site personnel on an annual basis.

Routinely attend meetings to take notes and issue minutes.

Proficiently handle routine administrative tasks such as but not limited to expense reports, travel planning, arranging site special gathering and catering thereof, posting of mail, issuing routine all employee email notices, ordering office supplies and maintaining copiers / printers, assisting with the on boarding of new employees and issue time exceptions report

Ingredients for Success: What We Look For in You…

Basic qualifications:

High School Diploma or GED with 10 years of administrative or customer service experience OR an Associates Degree with 5 years of administrative or customer service experience

Preferred qualifications:

SAP experience or use of similar manufacturing programs preferred

Experience with SharePoint and IBM notes is preferred

1 year of experience related to creation of shipping documents preferred
