Business Support Specialist (1902060) – Beachwood, Ohio
Under the direction of the Senior Vice President, this position provides executive business support and coordination. In addition to typing, filing and scheduling, performs duties such as coordination of meetings and conferences/ events, obtaining supplies, coordinating mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of external contacts, customers and visitors, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload in an appropriate and confidential manner.
Schedules and organizes complex activities such as meetings, travel and conferences.
Creates and develops visual presentations for the senior vice president.
Establishes, develops, maintains and updates filing system. Retrieves and organizes information from files when needed.
Organizes and prioritizes large volumes of information and calls.
Organizes communication such as email and regular mail for the senior vice president. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information
Answers phones for senior vice president. Takes messages or fields/answers all routine and non-routine questions.
Acts as a liaison with other departments and outside agencies, including high-level staff such as senior executives and board of directors. Handles confidential and non-routine information.
Works independently and within a team on special nonrecurring and ongoing projects.
Acts as project manager for special projects, at the request of the senior vice president, which may include: planning and coordinating multiple presentations, disseminating information etc…
Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Supports and conducts expense reporting activities documenting corporate credit card, procurement cards including assembling documentation and reconciling accounts.

Must have experience supporting and working with Executives and Senior Leadership Teams
Highly proficient in Microsoft Office Applications including Word, Excel, Outlook and PowerPoint
Exceptional organizational and time management skills
Extensive experience booking complex travel arrangements including international travel
Event planning experience
Willingness to jump in and help with duties outside of scope of position
Detail-oriented, resourceful, responsible, focused, and proactive
Able to function well during a stressful/crisis/deadline situation
Solid oral and written communication skills
