Administrative Sales Coordinator Americas - 2201501– Houston, TX

Our Sales Team is looking for an Administrative Sales Coordinator. This position will be responsible for handling day to day sales coordination and administrative support for the Process Catalysts Sales team in the Americas. Solid line reporting will be to the Regional Sales Director in the Americas for Process Catalysts located in Houston, Texas. Incumbent will also have additional responsibilities for the Global Business Director for Adsorbents who sits in Iselin, NJ.

This position acts as a customer interface, internally with other business units and with outside clients and contractors. Management and coordination of meetings, calendars, internal documents, databases, and project work as assigned are an integral component of this position.

Principal Responsibilities:

Coordinate meetings in NA for local and global teams. Work with planning groups in other locations to get meeting cards, complete budget templates, work with event planner on contracts, work with venue to arrange rooms, submit final budget spreadsheets for all onsite and off-site meetings for the CCP/K team in Americas.

Coordinate events such as conferences and trade shows by working with the Communications group and various vendors to maintain BASF branding, arrange hotels, meeting spaces and entertainment events.

Power User for Sales Force for the Americas region; maintain campaigns in Sales Force for all conferences and events organized by the business

Lead and manage CCP’s legal S&OP meeting ensuring alignment of contract priorities between the business and legal. Work closely with legal to obtain proper legal stamps, obtain executed originals, enter into the PT legal database and CMF

Manage day to day administrative support for CCP/K members including onboarding, IT Access, etc.

Prepare and manage agenda for monthly group meetings; Prepare PowerPoint presentations for internal and sales group meetings as needed

Maintain web pages; support sales team in providing product documentation like SDSs/Technical Data Sheets etc.

Oversee and coordinate training schedules, communications, and effective operations of on and offsite training

Provide administrative support to Sales Director as needed

This position will work independently

This position will handle confidential information, including issues related to personnel and organization.

Basic Qualifications

Bachelor’s degree in Business or Communications or similar required

2 years of work experience in a professional business environment required

2 years of computer skills are required, particularly using Excel and PowerPoint

Ability to travel up to 10% of the time

Preferred Qualifications

Highly organized

Ability to manage multiple projects/assignments with short deadlines simultaneously

Exceptional interpersonal skills including the poise to confidently communicate in various internal/external (customer) interactions

Experience with Sales Force preferred

Ability to function well with short deadlines and multiple activities

Self-motivated and team oriented
