Operations Support (1903202) Mattawan, MI

Under the direction of the Site Manager, this position provides front office business support and coordination. In addition to typing, filing and scheduling, performs duties such as coordination of meetings and conferences/ events, obtaining supplies, coordinating mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of external contacts, customers and visitors, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload in an appropriate and confidential manner.

Responsibilities include:

  • Assume main responsibility for direct procurement (raw materials and packaging) items.

  • Acts as a liaison to site visitors and interacts with other departments and outside visitors.

  • Handles confidential and non-routine information.

  • Works independently and within a team on special nonrecurring and ongoing projects.

  • Schedules and organizes complex activities such as meetings, travel and site activities.

  • Train in QC lab to serve as back up for vacations/absences.

  • Create and update work instructions.

  • Help create and maintain department training guides.

  • Creates and develops visual presentations for the site manager.

  • Establishes, develops, maintains and updates filing system. Retrieves and organizes information from files when needed.

  • Create training packets for new employees.

  • Investigate SAP (or similar business operating platform) issues and help train on resolutions.

  • AIMs and EHS Corrective action administration.

  • Maintain site medical compliance process (HEGM’s, physical coordination).

  • PPE supply contact for production.

  • Return to work medical testing coordination (STD, LTD, W/C)

  • Medical exam scheduling, follow-up and HEGM maintenance.

  • Confirming vendor POs for materials.

  • Weekly payroll/time keeping.

  • Purchase requisitions for indirect procurement (Supplies,Goods and Services).

  • Maintenance work orders.

  • Prescription safety glass/safety shoe program administration.

  • Updating process order dates.

  • Training co-ordination.

  • AIMS administration.

  • Back up production scheduling.

  • Cycle count resource.

Ingredients for Success: What We Look For in You…

Basic qualifications:

  • Must have experience supporting and managing front office activities.

  • Highly proficient in Microsoft Office Applications including Word, Excel, Outlook and PowerPoint

  • Familiar with procuring and receiving materials in an Enterprise system (SAP or similar business operating platform)

  • Exceptional organizational and time management skills

  • Willingness to jump in and help with duties outside of scope of position

  • Detail-oriented, resourceful, responsible, focused, and proactive

  • Able to function well during a stressful/crisis/deadline situation

  • Solid oral and written communication skills

  • Professional and positive attitude

  • Must be able to work in a fast pace and collaborative environment, and handle multiple tasks concurrently

  • Flexible to work overtime if needed in accordance with company’s overtime policy.
