Administrative Associate (1903576) – Port Arthur, TX

We are seeking a professional like you to join our team. In this role, you will be responsible for a wide range of administrative functions in the EHS (Environmental Health & Safety) department. Candidate will be responsible for the timely and accurate execution of the overall office administration duties for the EHS Department.

Principal responsibilities include, but are not limited to:

Prepare and submit correspondence containing routine inquiries via email, letters, and faxes as well as official corespondance with Regulatory agencies.

Perform SAP transactions including time entry, reporting, creating requisitions and service entries.

Prepare invoices, reports, presentations, memos, letters, financial statements and other documents, using appropriate applications, spreadsheet, database, or presentation software

Issues payment transactions via SAP.

Organization of departmental reports, receipts, documents, and files in all formats (electronic, paper, etc.)

Arranges and plans departmental travel needs, meetings, and events.

Open, sort, and distribute incoming correspondence, faxes, mail, and email.

Retrieval of corporate documents, procedures, records, and reports as needed.

Purchase and manage departmental supplies, office supplies, safety shoes, IT Catalog items.

Manage departmental AccessIT requests.

Contact for departmental IT issues, password resets, IT Catalog purchases, AccessIT requests.

Maintain sensitive and confidential employee files, correspondences, financial data and records as needed.

Manage departmental bulletin boards and information, including laminating reports and documents for all bulletin boards and keeping accurate information up-to-date.

Interact with other site administrative associates to ensure consistency in tasks, sharing of best practices.

Must have strong interpersonal, written and oral communication skills.

Ability to work with supervision.

Strong grammar, spelling, and business letter composition skills.

Ability to coordinate and meet deadlines.

Flexibility to handle multiple tasks and changing requirements of fast paced schedules.

Basic qualifications:

High School Diploma or GED

Minimum of 5 years’ experience with Microsoft Word, Excel, Power Point, Microsoft Access, Microsoft Outlook and SAP
